What Is a P9 Form?

A P9 is an annual tax deduction certificate that your employer must give you at the end of each tax year. It summarises all your earnings and deductions for the full year — essentially a single document that proves how much you earned, how much tax was deducted, and what other statutory contributions were made on your behalf.

The P9 is the foundation of your annual income tax return. Without it, filing accurately is almost impossible. In 2026, KRA's pre-filled return system means iTax may automatically populate much of your return from your employer's P10 submissions — but you still need your P9 to verify the figures are correct.

When Must Your Employer Issue the P9?

Under the Income Tax Act, employers are legally required to issue P9 forms to all employees by January 31 each year, covering the previous tax year. So by January 31, 2026, you should receive your P9 for the 2025 tax year.

If your employer fails to issue your P9 by January 31, you can:

  1. Write formally to your employer demanding the P9
  2. Report the non-compliance to KRA via 0800 722 226 or itax.kra.go.ke
  3. File your return using your payslips if the P9 is not available — but request the P9 in writing as a paper trail

What Information Is on a P9 Form?

A complete, compliant P9 must include:

  • Employee details: Your full name and KRA PIN
  • Employer details: Employer name and KRA PIN
  • Tax year: The year being reported (e.g., January–December 2025)
  • Monthly breakdown: For each of the 12 months: gross pay, PAYE deducted, NSSF deducted, SHIF deducted, Housing Levy deducted
  • Reliefs applied: Mortgage interest relief, pension relief, insurance relief if your employer applied these during the year
  • Annual totals: Sum of all columns
  • Employer signature and stamp: Confirms the authenticity of the figures

How to Use Your P9 to File Your iTax Return

Follow these steps to file your annual income tax return using your P9:

Step 1: Log into iTax

Go to itax.kra.go.ke and sign in with your KRA PIN and password. If you have forgotten your password, use the "Forgot Password" function — you will receive a reset link via email.

Step 2: Navigate to Returns

Click Returns → File Return → Income Tax → Individual (IT1). Select the tax year you are filing for (e.g., 2025 for the return due June 30, 2026).

Step 3: Review Pre-Filled Data (2026 update)

From 2026, iTax pre-fills your employment income data from your employer's P10 submissions. Compare the pre-filled figures against your P9 form. If they match — great, accept them. If they differ, your employer's P10 submission may be incorrect — ask HR to check and re-file if needed.

Step 4: Enter Your Income Details

If the data is not pre-filled, enter the totals from your P9:

  • Annual gross pay (add up all 12 months' gross pay column)
  • Total PAYE deducted (add up the PAYE column)
  • Any other income (rental, business, dividends) if applicable

Step 5: Claim Any Unclaimed Reliefs

If your employer did not apply reliefs that you were eligible for during the year (e.g., mortgage interest relief), you can claim them now on the return and get a refund of any overpaid PAYE. You will need supporting documents like your bank statement for mortgage interest.

Step 6: Submit and Check Your Tax Position

iTax will calculate whether you owe additional tax or are due a refund. If you only have PAYE income and your employer applied all reliefs correctly, the position is usually zero — you have already paid the right amount.

Common P9 Mistakes to Watch For

  • Missing reliefs: If you submitted mortgage or pension documents to HR during the year but they do not appear on the P9, ask HR to correct it.
  • Wrong year on the form: Ensure the P9 covers January to December of the correct tax year.
  • Missing employer PIN: A P9 without a valid employer KRA PIN is incomplete and may cause iTax filing issues.
